Terms of Service
The terms on which we provide AymexConnect, what we commit to, and what we ask of you in return.
Last updated 23 October 2026
This page describes how Aymex LTD operates the AymexConnect service. It is written to be read, not to be impenetrable. It is a summary of our practices rather than legal advice - if you need contractual certainty for a procurement process, ask us for the signed agreement.
These terms
These terms govern your use of AymexConnect, provided by Aymex LTD (company number 15515557). By creating an account you accept them on behalf of the organisation you represent.
Where we have signed a separate written agreement with your organisation, that agreement takes precedence over anything on this page.
Your account
- You are responsible for the accuracy of the information you give us and for keeping it current.
- You are responsible for all activity under your account, including that of users you invite.
- You must keep credentials confidential and tell us promptly if you believe an account has been compromised.
- Administrators can see and manage the data of users within their tenant, including call recordings and messages.
Trial and subscription
- The free trial runs for thirty days from account creation and requires no payment card.
- If the trial ends without a plan, the desktop and mobile apps stop working, administrators can still sign in to choose a plan, and phones can only call emergency numbers (999 and 112). Incoming calls keep reaching your numbers for 30 days after the trial ends; the numbers are then released.
- Subscriptions are charged per active user, per month or per year, in advance.
- Monthly plans can be cancelled at any time and run to the end of the paid period. Annual plans run to the end of the annual term.
- Account credit is not refundable. It stays on your account and is used if you subscribe again.
- Adding users mid-period is charged pro rata. Removing users reduces the following period's charge.
- Where an order form sets a minimum term, that term applies in place of the cancellation rules above. If you end the service before the minimum term ends, the remaining monthly charges for that term become payable.
- We may change prices or these terms with at least one month's notice to account administrators. Prices do not change during any price lock period shown on your order form or the pricing page, and existing paid terms are unaffected until renewal. If any change we make to prices or to these terms is not to your benefit, you may end your subscription without any early termination charge by telling us before the change takes effect.
- Invoices are payable when issued. We may charge interest and compensation on late payments under the Late Payment of Commercial Debts (Interest) Act 1998.
Fair use of calling
Plans described as including unlimited UK calling are intended for normal business use by the named user. They are not intended for automated dialling, call-centre outbound campaigns at volume, call forwarding services, or resale of connectivity.
If usage substantially exceeds normal business patterns we will contact you to discuss a suitable plan before taking any action.
Numbers and porting
- Numbers we allocate to you are assigned for the duration of your subscription; they are not sold to you.
- You may port numbers away at any time and we will not obstruct or delay a valid porting request.
- While an account is suspended for non-payment, its numbers stay assigned to it.
- When an account closes, its numbers are held for 60 days. Subscribing again within that time brings them back; after that they may be reassigned.
Emergency calls
AymexConnect supports calls to 999 and 112. Because the service is delivered over the internet, emergency calls will not work during a power cut or a loss of internet connectivity, and the location passed to the emergency operator is the address registered against the number rather than your live location.
You must keep your registered address up to date and make sure your users understand these limitations. Where you rely on a device being movable between sites, keep an alternative means of calling emergency services available.
Availability and support
We aim for high availability but do not offer a contractual uptime commitment or service credits as standard. Where a service level has been agreed, it is set out in a separate written agreement with your organisation.
Planned maintenance is scheduled outside UK business hours wherever possible and notified in advance.
Your data
You retain ownership of the content you and your users put into the service. We process it to provide the service, as described in our privacy policy. Where we process personal data on your behalf, we do so as your processor under our data processing terms, which form part of your agreement with us.
While the account is open, recordings and voicemail follow your retention settings, and administrators can export your data at any time from Settings > Billing > Data export.
An account closes when a cancelled subscription reaches the end of its paid period, when a lapsed subscription is replaced at checkout but no new plan is completed within 7 days, or when we end the service. From then on the apps stop working, apart from the billing and data export pages for administrators, and phones can only call emergency numbers (999 and 112). You have 30 days to export your data; if you can no longer sign in, ask us and we will prepare the export. Reopening the account within those 30 days cancels the deletion.
After 30 days we permanently delete your content, including recordings, voicemail, transcripts and AI summaries, chat history, stored message text, contacts and uploaded files, and switch off the phone system. Backup copies cycle out within a further 60 days, so your content is gone within 90 days of closure.
We keep invoices, billing and payment records and call logs for six years, because UK tax law requires it, and business verification records for as long as anti-money-laundering rules require. We then delete them permanently.
AI features
- Smart voicemail, call and meeting summaries, writing help and catch-me-up are produced automatically by AI models. They can be wrong or incomplete. You are responsible for checking anything you rely on against the original recording or message.
- Where your plan includes AI minutes, they are pooled across your organisation for each calendar month and do not roll over. AI minute top-ups bought from your wallet expire at the end of the month in which they are bought and are not refundable once applied.
- If you enable call or meeting transcription, you are responsible for telling the people on the call that it may be recorded and transcribed, and for having a lawful basis to do so. We provide a spoken notice you can switch on, but using it is your choice and responsibility.
- Administrators can switch AI processing off for the organisation, and each user can opt their own voicemail and calls out. Audio and text sent to our AI providers is used only to produce your output and is never used to train AI models.
Suspension and termination
We may suspend an account for non-payment after notice, for a breach of the acceptable use policy, or where continued operation would put the platform or other customers at risk.
If a subscription payment fails, we retry it and email your billing contact. If it is still unpaid after the retries, the account is suspended: the apps stop working, apart from the billing pages for administrators so they can pay, and phones can only call emergency numbers (999 and 112). Incoming calls still reach your numbers, and nothing is deleted. Service comes back as soon as the payment is received.
A suspension for any other reason does not pause subscription charges.
Either party may terminate for material breach that is not remedied within thirty days of written notice.
Events outside our control
The service depends on networks and systems we do not control, including telephone carriers, internet and broadband providers, power supplies, hosting providers and your own equipment. We are not responsible for failures or delays caused by them, or by any other event outside our reasonable control, but we will tell you about the problem and work to restore service as quickly as we can.
Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, our total liability in any twelve-month period is limited to the greater of the fees paid or payable by you in the preceding twelve months and £10,000.
We are not liable for loss of profit, revenue, business, goodwill or anticipated savings, for loss or corruption of data except as set out in our data processing terms, or for any indirect or consequential loss.
General
- Your agreement with us is made up of any order form you sign, these terms, our acceptable use policy and our data processing terms. If they conflict, the order form takes precedence, then the data processing terms, then these terms.
- We send notices to your account administrators by email, and you can send notices to us at our support email address. An email notice is treated as received one business day after it is sent.
- We may transfer this agreement to another company in our group, or to a buyer of our business, by telling you in writing. You may transfer it only with our written agreement.
- No one other than you and us has any right to enforce these terms under the Contracts (Rights of Third Parties) Act 1999.
- If any part of these terms is found to be unenforceable, the rest continues to apply.
Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
